TERMS AND CONDITIONS
Payment:
A non-refundable booking fee of £200 is required in order to reserve BECPs’ services for the wedding date. A second instalment equal to the remainder package price will be due at least 30 days prior to the wedding date. If the client cancels the production prior to the wedding date, the second payment will be refunded to the client only if BECP can rebook the wedding date. The client is entitled to a 14 day cooling off period starting from the date they pay the booking fee. If within the 14 days the client wishes to cancel their booking a full refund will be made.
Production:
The Client is solely responsible for securing permission from the venue owner/operator for use of the
production venue as well as authority for BECP to set up all necessary production equipment. It is
understood that the quality of the production is dependent upon adequate lighting, camera/microphone
positions and other conditions not under the control of BECP.
BECP is not responsible for:

Poor audio if the client does not agree to wear a microphone or if the client or a wedding guest takes their microphone off/ covers the microphone with their hand. Every effort will be made by BECP to explain the need for a microphone and how best to hold/ wear one.

Poor audio due to high winds.

Lack of footage from ceremony where permission to film has been denied within a church or religious setting. (The Client is responsible for seeking permission/ understanding restrictions from the church or religious leader and communicating this with BECP ahead of the wedding date).

The inclusion of all guests within delivered film - although BECP will aim to include all guests where possible and reasonable.

Dark or grainy video resulting from inadequate light during the ceremony or at the reception. BECP will provide light if needed during the first dance through to the dance floor but BECP cannot always provide adequate light for ceremonies and/or speeches with low light.

Electrical or mechanical malfunctions at the venue that are beyond the control of BECP.
If BECP cannot perform or believes it may not be able to perform this Agreement in whole or in part due to a fire, natural disaster, act of war or terrorism (domestic or foreign), epidemic or pandemic (including COVID-19), action of any governmental authority (including a Government Order*), national or regional emergency, other casualty, act of God, or other cause beyond the control of the parties, whether or not foreseeable (“Force Majeure Event”), then BECP will give notice to the Client as soon as reasonably practicable.
BECP shall have no obligation to perform under this Agreement and no liability for delays or failures to perform due to a Force Majeure Event. BECP will, in BECP’s discretion, work with the Client to find an alternative date for the Event that is suitable to both Client and BECP - Client must reach out to BECP at the soonest possible instance. Where needed BECP will seek an Associate Shooter where possible to video on the agreed date, BECP will then edit the footage for the Client as originally agreed.
If BECP cannot perform this agreement due to illness, injury or reasonable personal events BECP will reach out to the Client at the soonest possible instance and aim to provide an Associate Shooter to cover the wedding in as full a capacity as possible. If an Associate Shooter cannot be found for the date BECP will assist the Client in finding a new Videographer to take over the event in full and the Client's booking fee will be returned to them within ten days.
To the extent the Parties, postponing due to government lockdown guidance and law, cannot agree on a suitable replacement date consistent with BECP’s availability, BECP may also, in its sole discretion, refund fees paid to BECP under the Agreement, less any amounts necessary to cover expenses and work (based on time spent by BECP) already performed by BECP related to the Event, including, but not limited to, pre-wedding communications, development of timelines, and preparation of gear for the Event. In the case of a Force Majeure Event, BECP shall have no additional liability to Client with respect to this Agreement beyond that described in this Section and below.
1* The Client understands that BECP works to maintain a safe work environment, including but not limited to, complying with applicable governmental laws, directives, orders, and regulations (each a “Governmental Order”). The Client further understands and agrees that BECP shall not be required to perform under this Agreement if the Event is held in violation of a Governmental Order or BECP’s participation in the Event would violate a Governmental Order. The Client also understands and agrees that BECP is not obligated to continue to perform under this Agreement if BECP’s personal safety or well-being has been or will be comprised or threatened at the Event, including, but not limited to, as a result of the condition of the venue for the Event, or the conduct of an attendee of the Event, or due to any COVID-19 health restrictions including social distancing.
Date:
BECP will establish an arrival time for the wedding date with the client prior to that date and remain on duty
for the number of hours included in the package. Coverage hours included in the package are for the
wedding date only and must be consecutive. This block of time includes set-up and tear-down of
equipment, transportation between venues and meal breaks.

Additional Hour/s of Coverage:
If required, BECP will include the additional coverage time when establishing arrival and departure times with the client prior to the wedding date. Additional hours must be consecutive with the block of hours already included with the package i.e 10:30am - 7:00pm. Each additional hour will incur a cost of £100.
Discontinue Filming:
BECP reserves the right to discontinue filming in any situation (eg: heavy rain, extreme temperatures,
humidity, hazardous locations, inappropriate, aggressive or sexually aggressive behaviour from the Clients, their guests or venue staff) that could put the safety of the videographer or equipment at risk.
Two - three cameras will be used to film the ceremony and throughout the day. The aesthetic quality of this footage may vary depending upon the logistics and lighting of the wedding venue and the permitted camera placement.
Providing Meals:
Because BECP is generally on the same schedule as the Client, therefore the Client agrees to provide BECP with one meal per videographer during the time that the client is served at the reception. Please note; one of our videographers will require a vegetarian meal. If this meal is provided out of view of the reception activities, BECP cannot guarantee that any events occurring during the videographer’s absence will be captured. - This meal does not need to be part of the wedding breakfast, some venues provide a “supplier meal”.
If a meal cannot be provided the client must let BECP know as soon as possible so that BECP can make other arrangements - this may include BECP leaving the venue during the reception meal.
Additional Expenses:
Any expenses incurred by BECP not pertaining directly to the production of the video (ex: out-of-town
accommodations, parking, shipping, tolls etc.) will be added to the client’s balance.
Editing:
The Client should be aware that editing of the film(s)/photographs is a lengthy process and agrees to wait up to 24 weeks for their final product - BECP endeavours to hand finished films over to clients as quickly as possible, but prides itself on quality over speed. If the client wishes to have their product within a certain time frame (which is reasonably shorter than the specified wait) they must make BECP aware before filming begins and a 30% charge will be added to the overall price. If the client fails to let BECP know before this then no guarantee can be made that a finished product will be provided before the 24 week deadline.
The completed video will be considered a finished product, the Client can ask for one reasonable change to the finished product. Any additional requested revisions will be added to the client’s balance at the prorated rate of £100 a day.

Upon agreement the original files may be handed over to the client for their personal use (the copyright remains with BECP). The client agrees that in this case it is their responsibility to seek proper licensing for any music tracks they use alongside the footage and to properly credit BECP as the videographer only. The client gives BECP permission to use footage from the original files to market BECP’s videography services.
Accompanying Music:
As part of the package BECP will supply suitable music to accompany the film. As such, BECP will attain the correct license for each track.
However if the client wishes for a specific copyrighted music track to be used then they are entirely responsible for:

providing the specific track;

obtaining all permissions to use the track

payment for all copyrighted music and licences
